You will need to download and install the Zoom client for the device you’re using in order to attend meetings. You will also need to create a Zoom account if you want to start, schedule, and invite others to meetings. However, you don’t need a Zoom account to join another person’s meeting.

Let’s get right to it! Below are instructions on how to create a free Zoom account. After that, we’ll cover common problems with signing in, as well as how to upgrade your account.

Creating an account signs you up for a Basic Zoom Meetings plan, which is completely free to create and operate. With this, you’ll get the basic version of Zoom, with core features and functionality.

If you don’t receive the email within 2-5 minutes, check your spam filter, or click Resend Another Email back in the sign-up window.

Once you find that email, open it and click the big blue Activate Account button. There’s also a big, long, fancy URL below it that you can click — or copy and paste into your browser’s address bar — if this doesn’t work.

If you are signing up on behalf of a specialized industry, signing up may come with other instructions and/or additional privileges, such as an exemption to the 40-minute time limit on group calls for elementary and secondary schools using Basic accounts.

Pay attention to the rules for what a password can and can’t include. Not only are they good general practices for creating passwords, but you won’t be able to continue if you don’t follow them!

If you choose to send out invitations, you will have to pass a security check so Zoom knows you aren’t an automated program sending out unsolicited emails. Begin by clicking the box that says “I’m Not A Robot.” You may be asked to solve a simple puzzle; if you are, just follow the instructions. Either way, a green checkmark should appear when you’re done. Then click Invite.

If another person in your organization invites you to Zoom, you’ll receive an email similar to the one in step 4 above (again, it should be from “no-reply@zoom.us,” Zoom’s official email address). Click Activate Account; if that doesn’t work, copy and paste the long, complicated URL below it into your browser’s address bar and press the Enter/Return key. 

From there, the rest of the process is pretty similar, though there may be some differences (e.g. you may not have to do step 5).

A Zoom account is not required to join a meeting that is being hosted by another person. To host and schedule meetings, you will need to create an account. It’s important to note that someone has to host a meeting, so a meeting cannot consist of all guests; at least one person will need to have a Zoom account to run the meeting. It will also let you create a profile so you will not need to enter your name every time you join a meeting.

Now that you’ve created a free Zoom account, you can access more features than as a guest user. Create and host your own meetings, schedule meetings with other users, and get access to basic video conferencing, web conferencing, and group collaboration features. Once you’ve set up your account, you can schedule a meeting and learn the available features.

There are four ways that you can create Zoom user accounts: Manually add the users individually by entering their email address and account details. Bulk upload users using a CSV file. Enable just in time provisioning using single sign-on (SSO). Zoom handles the management and creation of user accounts in a surprisingly elegant way. If you want to manage Zoom users in your school you need to have purchased the minimum education plan, which covers 20 licensed users but can have as many free users as you wish above this. When creating accounts for your school you also need to consider that many people already use Zoom for personal reasons and it’s likely that many already have a Zoom account registered with their school email account.

I know when I first set up Zoom for my school I was amazed at how many people already had accounts without IT even being aware. In fact, even if your school is not using Zoom, I strongly recommended having at least one administrator account to allow you to keep track of and monitor teachers and students using Zoom with a “school” account.

But don’t worry if you think people within your school are already using Zoom as you can find an add them to be a managed user within your Zoom account really easily.

The users you have added will be sent an activation email and will appear in the users’ list after they accept the invitation. All of the users you have added will now appear on the Pending tab of User Management.

Zoom’s single sign-on allows students and teachers to login with their school email address and password even if you haven’t set them an account up yet. SSO makes managing users really easy because once set up, you don’t really need to do anything else to ensure that new users in your school have Zoom accounts.

Zoom SSO works with Microsoft Azure (Microsoft 365), Shibboleth, G Suite/Google Apps and OneLogin. Zoom can also work with ADFS 2.0 SAML for Active Directory and others.

A Managed or Associated domain allows you to take control of and manage any Zoom account created with a school email address. So, if a teacher or student has created an account with the email myname@myschool.com, you can force any @myschool.com Zoom account to be associated with your school’s Zoom admin account. You can also force them to have to sign in with their school account using SSO through one of the services above.

Once you’ve added and verified your school’s domain, by enabling Manage accounts with the same domain, any users who create a Zoom account with a school email address will be asked to use a different email address. Users who have existing Zoom accounts at this domain will be required to change their email address. If you check the option Allow users with the same domain to consolidate into this account, new users will be allowed to join your Zoom account or change their email address. Existing Zoom accounts will be given the option to either change their email address or join your Zoom account.
